Organization Profile:
The Centre for African Family Studies is an African Institution dedicated to strengthening the capacities of organizations and individuals in the field of health, HIV & AIDS, population and development in order to contribute to improving the quality of life of families in sub-Saharan Africa. CAFS Training and Technical Assistance Team (TTA) made up of highly qualified professionals of Advocacy, Reproductive Health, HIV&AIDS, Organizational Development, and Knowledge Management (KM), conducts courses and provides research and consultancy services from bases in Lome (Togo), Addis Ababa (Ethiopia), Abuja (Nigeria) and Nairobi (Kenya).

Position Description and Required Tasks

The purpose of this position is to provide administrative and logistical support to the planning, design, implementation and evaluation of the training and technical services that CAFS Nigeria delivers as part of its strategic plan and annual work program/budget, at the country, regional as well as corporate level. Position is open to English Speaking candidates from all nationalities.

Main Tasks, Duties and Responsibilities

Support to technical assistance

1. Monitoring and tracking announcement and publication of calls and requests for proposals/expressions of interest
2. Undertaking Internet and desk research to gather information for proposal / EOI writing
3. Supporting preparation of EOIs (Expression of Interests) and proposal development by tracking set timeframes and deadlines, preparing assigned sections of EOIs/proposals, and dispatch of EOIs and proposals as required
4. Assisting technical specialists to compile, edit and review project and technical reports and publications
5. Participating in developing the technical services sections of annual work programme and budget as directed
6. Compiling information on technical activities as part of documentation.


General administrative support

1. Receiving and responding to calls and correspondence enquiring about technical assistance services, e.g. courses, training calendar, and technical assistance areas, or routing them to relevant staff for action
2. Receiving telephone calls to TTA Team members in their absence and relaying the information and assisting Team members to make calls
3. Preparing draft correspondence for approval and dispatch and assisting TTA members to dispatch correspondence
4. Preparing and circulating minutes of Business Development Meetings and other TTA Department meetings
5. Tracking TTA pending actions, including following-up with/reminding Team members on pending actions
6. Setting-up and maintaining the TTA updated filing system (electronic and hard versions) including records on EOIs and proposals, project and activity reports, and other documents
7. Providing other support to the TTA Team and the Corporate Head Office in general as and when required

Key Outputs

1. Administrative system for monitoring and tracking TTA Team actions and activities to ensure compliance with timeframes and deadlines
2. Information and knowledge from Internet and desk research as required to support proposal development and technical service deliver
3. Updated files and records (electronic and hard versions) on all aspects of TTA work
4. Contribution to development and updating of CAFS administrative and logistical support systems, and guidelines and tools

Job Requirements

Qualification

Minimum of first-degree level of education in social or health sciences, business management or public administration, or equivalents.

Experience

Minimum of two years of relevant work experience in at least one training and/or consulting organization involving organization and provision of administrative or office management support, and the following abilities:

1. Ability to plan and organize activities and tasks and to juggle them
2. Excellent interpersonal communication skills including good conceptual and writing skills
3. Ability to work at both macro and micro levels and to handle multiple tasks
4. Good prioritization skills as well as creative problem-solving and analytical skills
5. Familiarity with (preferably in-depth knowledge of) the non-profit sector and SRH and HIV/AIDS organizations
6. Computer literate especially proficiency in the use of statistical and analytical software

Remuneration

This is a volunteer position and as such a minimal stipend of US$400 per month will be provided. Airfare, Transport and Accommodation will not be provided.

    There are several job opportunities at the WHO. Your employment into such jobs will depend on your current qualifications.

    At the minimum, most WHO job opportunities for doctors require an MBBS/MBBCh and an MPH. Others may require more like years of experience, area of expertise, etc.
