Donor Database Coordinator

The World Resources Institute (WRI) is seeking a dynamic, energetic, highly motivated person to fill the position of Grants/Donor Database Coordinator. The coordinator will be responsible for updating and maintaining WRI’s Raiser’s Edge donor database system. The Coordinator will be responsible for grant/gift processing and tracking, producing reports, and assisting staff on the use of Raiser’s Edge.

Major Responsibilities:

Grant/gift processing
* Responsible for maintaining the integrity of the development database, including creating new records, and accurate and timely entry of all gifts, grants, grant reporting requirements, proposals and donor information. Coordinates regular data clean up and merging of records within the Department.
* Prepare invoices and tracks payments for deliverable based contracts.
* Maintain subgrant system for tracking payments and reporting requirements for WRI’s partner collaborations. Review subgrant financial reports for accuracy and provide training to program staff on subgrant process.

Accounting Interface: Collaborate with Senior Accountant on the monthly processing and reconciliation of grants, gifts and others contributions with WRI’s accounting system. Manage the schedule of payments for all grants and prepare monthly cash flow reports for Grants Director, accounting staff, and CFO.

Donor Reporting and Recognition: Generate and circulate routine monthly and quarterly gift reports to all Development staff. Circulate accurate donor recognition lists and update as required.

Donor Initiatives and Acknowledgments: Provide back up support to Development Department colleagues on donor initiatives and acknowledgments during high volume periods (e.g. events and annual appeals).

Coordination and Administrative Support: Assist with annual organizational audits and routine grant-related correspondence, maintain grant and subgrant files, provide general support on Raiser’s Edge, and undertake other administrative duties as assigned.

Qualifications: The ideal candidate will be a highly motivated self-starter with strong organizational skills; great attention to detail, capable of working independently; as well as have excellent communication skills and the ability to work in team situations. S/he must be proficient in the use of Raiser’s Edge software and gift processing. Must be proficient in MS Office. A minimum of 2-3 years of relevant experience is required. S/he will report to the Grants Director.

The Donor Database Coordinator will also receive considerable exposure to the programs at WRI.
